Ongoing Bookkeeping.

No. 01 Philosophy What we are actually doing

The point is not categorization.

The point is that the accounting system stays defensible. Cleanup is expensive because rebuilding is harder than maintaining. Once your books are right, the whole job of monthly bookkeeping is to keep them that way.

We maintain the structure we worked so hard to restore.

That framing changes what monthly work looks like. It is not a bookkeeper logging into your file, matching transactions to categories, and calling it done. It is closing the books the way a controller would: reconciled, reviewed, and delivered with commentary.

  • A.
Full monthly close Every bank, credit card, and loan account reconciled. Not "matched" in the bank feed. Reconciled to statements, with uncleared items reviewed.
  • B.
Balance sheet review Every account looked at before we call the month done. Accruals booked where appropriate. Anything unusual flagged and explained.
  • C.
Written monthly note A short summary of what happened that month, what changed, what needs your attention. Not a report dump.
  • D.
System discipline Chart of accounts stays clean. New accounts get created on purpose, not by accident. Class and location tracking stays consistent.
No. 02 Scope What every month includes

What comes in every month.

The scope of ongoing bookkeeping is defined at the start and does not drift. If your business changes and the scope needs to expand, we scope it and re-quote in writing. No surprise add-ons.

No. Item Every month
01
Transaction posting and review
All bank feed activity coded to the right accounts, class, and location. Rules maintained to keep automation working correctly, not to skip the review.
02
Full account reconciliations
Bank, credit card, and loan accounts reconciled to statements. Discrepancies investigated, not adjusted away.
03
Balance sheet review
Every asset and liability account reviewed before close. Prepaid amortizations, deferred revenue, and payroll liabilities kept current.
04
Accruals where appropriate
If your books are on accrual basis, revenue and expense accruals booked to match the period. Not deferred until year end.
05
Financial packet delivered
P&L, balance sheet, and a written summary note by the fifteenth of the following month. Additional reports available on request.
06
CPA and tax coordination
Year-end packets prepared the way your CPA wants them. Questions from the tax side handled directly so nothing bounces back to you.
07
One business day response
Questions from you get replies within one business day. Not "when I get to it." Not a portal you have to log into. Email, text, or a scheduled call.
No. 03 Boundaries What we do not do

What ongoing bookkeeping is not.

Naming what a service does not cover is as important as naming what it does. This is how we protect scope, price, and the quality of the work you are paying for.

Not included

Tax preparation or filing

We are bookkeepers, not tax preparers. We coordinate with your CPA, prepare year-end packets, and answer their questions. We do not file returns.

Not included

Payroll processing

Payroll runs through your existing provider. We reconcile the results to the general ledger and clean up liabilities, but we do not run the payroll itself.

Not included

AP or AR management

Recording bills and invoices is standard. Chasing customers to pay or vendors to send bills is a separate scope. We can add it, but it is quoted separately.

Not included

Cleanup work as we go

If we find historical issues during ongoing work, we flag them and quote a fixed-fee cleanup addendum. We do not silently absorb prior-period repair into monthly work.

No. 04 Fit Who this is right for

Who ongoing bookkeeping fits.

Not every business needs the kind of monthly work we do. Ongoing bookkeeping with us is a match if any of the following are true.

  • 01
You just finished a cleanup The file is clean. You want to keep it that way and not repeat the exercise in three years.
  • 02
You are in a complex industry Insurance, short-term rentals, brewery, veterinary, construction. Generic bookkeepers get the shape wrong.
  • 03
Your CPA wants better source books A cleaner monthly file means faster, cheaper year-end and fewer adjustments.
  • 04
You are past DIY Your revenue is high enough that hours in QuickBooks are more expensive than paying a specialist to do it right.

Have not been through a cleanup with us yet?

We do occasionally take on ongoing bookkeeping without a preceding cleanup, but only when the current file is genuinely clean. Most files need at least a light cleanup to give ongoing work a defensible starting point.
